  • Greensouth Booking and Cancellation Terms and Conditions

These Terms and Conditions apply to all routes, clubs, and activities organized by Greensouth by Cambridge, both within and outside Colombia. By making a reservation, travelers confirm that they have carefully reviewed the itinerary, duration, and specifications, such as difficulty level and physical requirements, and are aware of the risks involved in the trip, including possible personal injury, death, or loss of property. By participating, they accept these risks and release Greensouth and its employees from any liability.

Travelers acknowledge having received and understood this document and accept its terms. Greensouth routes depend on agreements with external providers who are not direct employees of Greensouth. These providers are responsible for services such as transportation, meals, and accommodation. However, Greensouth shall not be held liable for the actions or omissions of such providers and their employees.

All routes and services are subject to the conditions of the providers, airlines, and local regulations. Greensouth does not assume responsibility for changes to the itinerary or delays due to factors beyond its control, such as illness, weather conditions, strikes, acts of war, natural disasters, theft, kidnappings, protests, road closures, flight cancellations, or vehicle mechanical failures, among others. Any losses or expenses resulting from these situations shall be borne by the travelers or their respective insurance.

Greensouth is not responsible for pre-travel expenses such as visas, passports, medical costs, or bank fees. Travelers voluntarily assume their participation, being aware of the risks involved, such as adverse weather conditions, terrorism, civil unrest, road blockades, encounters with wild animals, and health issues, including the risk of contracting viruses such as Covid-19. On certain routes, restrictions may apply to people with severe health conditions or physical disabilities that hinder their mobility. Each traveler is responsible for evaluating whether the route activities are suitable for their physical and mental capabilities.

Greensouth and its providers are not responsible for problems caused by travelers that prevent them from participating in scheduled activities. Greensouth reserves the right to refuse or expel any participant from the route if their presence is deemed harmful to the group or the trip at any time.

Participation in activities corresponding to Greensouth social clubs is subject to a minimum of eight (8) participants. If the required number is not reached, Greensouth reserves the right to reschedule the date of the event or activity; the new date will be communicated in advance to registered participants through the communication channels recorded in our database.

It is important to note that registration for the activities implies full acceptance of these terms and conditions and does not entitle the traveler to a refund for this reason. The travel kit is delivered only once, exclusively upon completing the registration process, which includes: corresponding payment, completion of the form, and in-person acceptance of the terms and conditions. Once the information is verified, the participant will be officially admitted to the Greensouth by Cambridge social clubs and may receive their kit. In the case of online registration or registrations made during weekends and holidays, a period of up to 48 business hours must be observed, after which the participant may collect the travel kit at the Greensouth office.

Participation Conditions

For most activities, an adequate physical and mental condition is required. Travelers must be able to walk on low-to-medium difficulty trails.

Greensouth reserves the right to modify rates. Group accommodations are based on double occupancy, while individual reservations offer single-room accommodation. Greensouth may also modify or cancel itineraries, including changes to tourist routes, when deemed necessary, without consulting travelers, but in all cases informing them of the respective changes. In the event of a trip cancellation, a full refund will be provided.

Code of Conduct

Participants are expected to behave respectfully towards the group and other travelers. The use of illegal substances, criminal or violent activities will not be tolerated and will result in immediate expulsion from the trip, without the right to a refund. The costs of returning to the city or country of origin will be borne by the traveler. Guides have the authority to exclude any person who does not comply with the established rules and agreements.

Indemnification

Travelers agree to indemnify and hold harmless Greensouth and its affiliates from any claims, demands, or expenses arising from their actions during the trip, including damages to third-party property or any other related claims.

Inclusions and Exclusions of Travel Expenses

Covered expenses include ground transportation, double or single room accommodation, services of bilingual drivers and explorers, meals specified in the itinerary, and admission fees for activities included in the route, with the services listed in each specific offer prevailing in all cases.

Expenses not covered include domestic and international flights (unless previously requested and arranged), taxes, additional transfers, meals not specified, optional activities, Covid-19 tests, personal expenses, alcoholic beverages, and tips.

Payments, Cancellations, and Refunds

An initial payment of 50% is required at the time of booking, and the remaining 50% must be paid 15 days before departure. If payments are not made within the established deadline, Greensouth reserves the right to cancel the reservation and retain the deposit. The method of payment shall be chosen by travelers from among those available and offered by Greensouth.

In case of cancellation by the traveler, notification must be made by email, and charges will apply according to the time of notice: 50% refund if canceled 10 or more days in advance; no refund will be given if cancellation occurs less than 10 days in advance or after the start of the trip.

Travelers may exercise their right of withdrawal, which consists of the right to cancel the purchase of the service within a maximum of five (5) business days from the time the booking is made, as established by Article 47 of Law 1480 of 2011. To exercise this right, travelers must contact Greensouth via email.

Travelers may request payment reversals in the cases stipulated in Article 51 of Law 1480 of 2011, through the Greensouth website.

Travel Insurance

Each traveler must have travel insurance covering accidents, illness, medical evacuation, and other unforeseen events. The insurance must cover all days of the trip and the corresponding geographical area. Greensouth recommends evaluating risks such as cancellations, lost luggage, or the need for emergency evacuation, as it does not assume responsibility for such expenses.

Use of Images

Greensouth and its partners reserve the right to take photographs and recordings during the trip for promotional purposes. By booking, travelers accept that their image may be used for these purposes without compensation, unless they notify in writing or in advance that they do not wish their image to be used.

Meals

Due to the conditions of the itinerary, not all meals will be served in restaurants, especially in remote areas. In such cases, picnic-style or lunchbox meals will be provided for greater flexibility or during transfers if necessary.

Dispute Resolution

If any complaint arises, it must be immediately reported to the trip operator or guide. If not resolved, the complaint must be submitted in writing to Greensouth within 30 days after the trip. The maximum amount a traveler may claim is limited to the cost of the trip.

Personal Data

The processing of travelers’ personal data is described in Greensouth’s privacy policy, available here.

Confirmation of Conditions

Travelers confirm that they have read, understood, and accepted the terms and conditions of the trip and have verified the dates and costs before booking. In case travelers do not use some of the services included in the itinerary, no refunds will be provided.
